Adding organizations from the OCHA contact list to the Sahana registry:

1) Open Spreadsheet with Organizations: The spreadsheet containing the list of organizations to be entered/verified is HERE.

2) Login to Sahana: Login to Sahana. If you do not have a login to Sahana yet:

  • click the REGISTER link on the homepage
  • you will be asked to provide your name and e-mail address
  • you will receive an e-mail with a link to provide verification
  • in order to speed approval by our admin team, please announce self in the #sahana IRC chat room on Freenode
  • once approved, you will be able to log in
  • proceed to step 3

3) Mark Next Record You Are Working On: In the first column, you should now mark “YES” to record that a record has been entered into or verified as being in Sahana. This will ensure that while you are doing steps 4-7, someone else does not work with the same record. For coordination purposes, you might consider marking on the tracking spreadsheet that you are starting from the top, the bottom, or with a specific letter.

4) Check for Existing Organization Record:

  • Navigate to the Organization List
  • Check to see if an organization is already listed in the registry by beginning to type the name of the next organization that needs to be entered or validated in the search box at the top middle of the screen. For example, the first organization on the spreadsheet is ACDI/VOCA, which is indeed already in the registry (as “Agricultural Cooperative…” the search intelligently picks up the acronym or the full name).

5) Update Existing Organization Record: If the organization is already listed:

  • click the link shown under the ID number column to open the record of the organization details.
  • select the EDIT button to change/confirm the organization type - this is shown in Column D of the spreadsheet. Note iNGO is “International NGO” in Sahana; “nNGO” is “National NGO in Sahana” and “IO” is “International Organization” in Sahana.
  • change/update the acronym if needed
  • select source of information as “19 January Master Contact List - Organizations”

6) Add New Organization Record: If the organization is not already listed:

  • click the ADD ORGANIZATION button
  • enter the Name as shown in Column C of the spreadsheet
  • enter the Acronym as shown in Column B of the spreadsheet (or enter it yourself if known or apparent; e.g. ADRA is the acronym for ADRA; but please don't make it up if you are not familiar with the acronym or if you can not verify it on the internet by googling).
  • select the Type of organization to match Column D of the spreadsheet.
  • select source of information as “19 January Master Contact List - Organizations”
  • select SAVE

8) For Advanced Users:

  • Consider a quick google search to identify organization websites so these can be entered as well
  • Consulting an organization website might also help you identify:
    • accurate organization Acronym
    • English spellings of French organization names (can be included in brackets)
